Introduction


Welcome to Green Guard. This handbook outlines the rules, values, and practices that guide our workplace. These policies are created to ensure fairness, transparency, and a productive work environment for all.
All employees are expected to read, understand, and comply with these policies.

 

Code of Conduct

  • Maintain professionalism, integrity, and respect in all interactions.

  •  Avoid discrimination, harassment, or offensive behavior of any kind.

  •  Comply with all company policies, project guidelines, and timelines.

  •  Respect client confidentiality and company data security practices.

  • Use company resources responsibly and only for work purposes

 

Working Hours & Attendance

 

  • Standard Work Hours: 9:00 AM - 5:30 PM, Monday to Saturday.

  • Break Time: lunch break (typically between 1:00 PM - 2:00 PM).

  • Employees are expected to be punctual and present throughout working hours.

  •  Late arrivals or early departures should be informed and approved in advance.

  •  Avoid using mobile phones for unnecessary activities during working hours.

 

Leave Policy

  • Sick Leave: Submit medical certificates for extended sick leave. (Unpaid, for Emergencies Only).

  • Public Holidays: As per the official company calendar (Max 10 days per year).

  • Leave Approval: All leaves must be applied 7 days in advance and approved by the reporting manager.

  • Emergency Approval:  Report to the respected manager.

  • Unapproved absence may lead to deduction or disciplinary action.

 

Remote Work / Hybrid Policy


Green Guard allows remote or hybrid work only with prior approval from the reporting manager or management. Employees working remotely must:

  • Maintain productivity and responsiveness during work hours.

  • Ensure proper communication with team members and clients.

  •  Have a reliable internet connection and necessary tools.

  •  Submit work reports as instructed.

 

Dress Code

  • Maintain a neat, clean, and professional appearance during work hours and client meetings.

  • Business casuals are acceptable unless otherwise instructed for meetings or events.

  •  Wear your ID card during working hours.

 

Confidentiality & Non-Disclosure

 

  • All employees must sign an NDA (Non-Disclosure Agreement) upon joining.

  • Do not disclose client data, project information, internal policies, or business strategies to anyone outside the company.

  •  Violation of confidentiality terms can lead to legal action and termination.

 

Travel & Expense Policy


For employees who travel for official purposes:

  •  All travel must be pre-approved by the reporting manager.

  •  Reimbursement will be provided for actual, reasonable expenses upon submission of bills.

  • The company will cover transport, accommodation, and daily allowance as per the role and destination.

 

Performance Reviews

 

  •  Employees will undergo quarterly reviews based on performance, attendance, attitude, and contributions.
  •  Constructive feedback will be provided, and achievements will be recognized.
  •  Top performers may be eligible for bonuses, promotions, or skill development programs.


 Use of Company Property

  • Laptops, phones, and other assets issued by Green Guard must be used solely for work.

  • Employees are responsible for maintaining them in good condition.

  • Assets must be returned upon resignation, termination, or transfer.


Termination & Exit Policy

 

  • Employees are required to provide 30 days' notice in writing before resignation.
  • An exit interview will be conducted, and all clearances must be completed.
  • The final settlement will be processed after the return of all company assets and knowledge transfer.


 Anti-Harassment Policy

 

  •  Green Guard follows a zero-tolerance policy against any form of harassment or discrimination.
  •  Any concerns should be reported confidentially to the HR department or the management.
  •  All complaints will be investigated promptly and fairly.


 Communication & Grievance Handling

 

  •  Open communication is encouraged at all levels.
  • Employees can raise concerns or suggestions directly to their team leader or HR.
  •  Grievances will be addressed respectfully and without retaliation.


Training & Growth

  •  Employees are encouraged to attend internal and external training sessions.
  •  Skill enhancement and professional development are key to individual and company growth.
  •  Certifications relevant to your role may be sponsored by the company on approval.


Disciplinary Action


Violations of company policy, poor performance, or misconduct may lead to:
1. Verbal or written warnings
2. Suspension
3. Termination of employment

 

Amendments
